Who is responsible

What we collect and why

When you use the contact form we receive the information you type in: your name, your organisation and phone number if you give them, your email address, the topic you choose and your message. We use it for one purpose only: to answer your request and, if you ask for it, to prepare a proposal. The legal basis is our legitimate interest in responding to people who contact us, and, once we start working together, the performance of a contract.

The form sends your message to our mailbox by email, through Amazon Simple Email Service (Amazon SES), and records it as a contact request in our customer relationship management system, Zoho CRM, hosted in Zoho's EU data centre. It is not stored on our web server. To keep out spam, the form uses ALTCHA, a privacy-friendly check that runs a short calculation in your browser: it sets no cookies, involves no third party and collects no data about you. To prevent abuse, our server keeps a pseudonymised fingerprint of your IP address (a keyed hash, not the address itself) for at most one hour, to limit the number of messages per visitor.

When you email or call us directly, we process your contact details in the same way and for the same purpose.

Our web server keeps standard access logs (IP address, page requested, time, browser type) for security and troubleshooting. These are not used to profile visitors.

How long we keep it

Contact requests that do not lead to an engagement are deleted within 12 months of our last exchange. If you become a client, we keep the correspondence for as long as the contract and the legal retention periods that apply to it require. Server logs are kept for 30 days.

Who we share it with

We do not sell or rent personal data. We share it only with the service providers we need to run our business, such as our email and hosting providers, under agreements that bind them to the same obligations. We do not transfer your data outside the European Economic Area unless the provider offers adequate safeguards under the GDPR.

For this website and its contact form, these are OVHcloud (OVH SAS, France), which hosts the website; Amazon Web Services EMEA SARL (Luxembourg), whose Amazon SES service relays contact-form messages to our mailbox from its EU (Frankfurt) region; Microsoft Ireland Operations Limited (Ireland), whose Microsoft 365 service hosts our mailbox in its EU data centres; and Zoho Corporation B.V. (the Netherlands), whose Zoho CRM service, hosted in the EU, keeps track of contact requests.

Your rights

• Access the personal data we hold about you and receive a copy.
• Have inaccurate data corrected and incomplete data completed.
• Have your data erased when we no longer have a reason to keep it.
• Restrict or object to processing based on our legitimate interest.
• Receive your data in a structured, machine-readable format.

To exercise any of these rights, email hello@rakami.be. We respond within one month. If you are not satisfied with our answer, you can lodge a complaint with the Belgian Data Protection Authority (Autorité de protection des données / Gegevensbeschermingsautoriteit), Rue de la Presse 35, 1000 Brussels.

Cookies

This website sets no tracking, advertising or analytics cookies and loads no third-party scripts. Fonts and images are served from our own domain. The only storage the site uses is your browser's own memory to remember the language you chose, which never leaves your device. The spam check on the contact form sets no cookies either.

The links to our client support portal (support.rakami.be) and our remote assistance service (assist.rakami.be) lead to services run on Zoho Desk and Zoho Assist. Those pages are not part of this website and have their own privacy and cookie notices.

Because the site uses no non-essential cookies, no consent banner is required. If we ever add analytics or embedded content from third parties, this page and the site will be updated and you will be asked for consent first.

We may update this notice when our practices or the law change. The date below tells you when it was last revised.
